Mod 1 Topic 1.3 Pic 1.jpg

Objectives for this topic

By the end of this topic, you should be able to:

  • Name several different AI tools for creating documents
  • Explain how to use different tools for different requirements
  • Remember to always consider the ethical implications of getting assistance from AI

Introduction

When it comes to business communication, using AI tools has become a great strategy to help in making documents. AI technologies, such as language models, can offer valuable assistance in crafting compelling presentations, well-structured proposals, effective meeting agendas and polished formal emails.

These tools provide the opportunity to explore innovative approaches to making content, saving time and effort, while maintaining a focus on creativity and critical thinking. As we look into the capabilities of these AI tools, it is crucial not only to understand their potential benefits, but also to think about ethical considerations, the importance of critical review and the need for human input all the way through the process to ensure that the final documents align with our values and standards.

Working through your course

Presentations and Proposals

As we saw in Topic 1.1, often in business we will be required to present our ideas in the form of a proposal. An AI tool specifically designed to assist us with this task is Gamma. Imagine that you are working for a business and you need to present your idea for a new training programme that uses virtual reality to simulate real-world scenarios. Go to Gamma App Links to an external site. and sign up to create a presentation deck by using the information above. What do you think of the presentation it produces?

Meeting Agendas

Although there are specific AI tools for creating agendas, such as Taskade Links to an external site., for something that is essentially all text it is best to use ChatGPT. Imagine that you need to create the agenda for a meeting of the Development Team. Go to ChatGPT Links to an external site.  (sign up if you haven’t already got an account) and prompt it to assist you with this task.

Try slightly different wording and see the differences you get in the agenda produced.

Formal Business Emails

Formal emails use language differently from casual and friendly emails and you certainly won't find any emojis here! Google’s Gemini Links to an external site. (used to be called Bard) is a useful tool for formal writing. Imagine that you are the Head of Business Development and you need to write a formal email to a company asking to arrange a meeting to discuss a new business idea. Prompt Gemini to assist you.

Have a look at the language used, you can see how it uses formal business language for this letter.

Fun With AI

Rather than being a threat to human creativity, generative AI can actually help us to have fun and be more creative. Humans love to express emotions with emojis and stickers. Head over to OpenArt Links to an external site. (and sign up for free) and prompt it to create some stickers or emojis of your favourite things!

Were they any good? Show them to a family member or friend to see what they think.

Review

Reflect upon what you have just covered. In your notes, summarise:

  • What you have learnt
  • What you already knew
  • What surprised you
  • What you are curious to know more about.
